Receipt Rabbit for QuickBooks Online
Receipt Rabbit is an iPhone app that scans paper and emailed receipts, reads every line item, and categorizes each one individually. Connect it to QuickBooks Online and those itemized expenses flow into your books automatically — matched to your bank feed, split across the right expense accounts.
Why line items matter
Most receipt tools file a whole receipt under one category. A single warehouse-store run becomes "Office Supplies," even though it contained cleaning supplies, a client lunch, and a personal grocery item.
Receipt Rabbit categorizes each line on the receipt independently. When that receipt reaches QuickBooks, it arrives as a purchase split across the expense accounts it actually belongs to — so your books reflect what you really bought, and personal items on a mixed receipt don't quietly land in a business account.
How the integration works
- Scan a receipt. Point the camera at it, import a photo or PDF, or forward a receipt email to your private Receipt Rabbit address.
- Receipt Rabbit reads it. Text recognition runs on your iPhone; the receipt is then categorized line by line.
- The receipt is matched to your bank feed. Receipt Rabbit looks for a QuickBooks transaction with the same amount, close in date, from a matching vendor. Matching is deliberately conservative — an ambiguous match is flagged for your review rather than guessed at.
- A purchase is recorded. The matched transaction is written up as a purchase with one line per expense account. If no bank transaction matches, you can push the receipt as a standalone purchase against a payment account you choose.
Your Receipt Rabbit categories are mapped to your own QuickBooks chart of accounts once, when you connect. You can review and adjust that mapping afterward.
What Receipt Rabbit accesses in QuickBooks
Receipt Rabbit requests the QuickBooks accounting scope only. It never requests the Payments API, and it cannot move money.
Reads
- Company name, to confirm which company you connected
- Your chart of accounts — expense accounts and payment accounts
- Bank feed transactions, to match receipts against
- Vendors, to avoid creating duplicates
Writes
- Purchases — the itemized expense records created from your receipts
- Vendors — only when a receipt's merchant doesn't already exist in your vendor list
Receipt Rabbit does not read or write invoices, payroll, customers, or payments, and never initiates a payment or transfer of any kind.
Your data
Receipt Rabbit has no user accounts and no user database. Your receipts live on your iPhone and in your own iCloud account — not on our servers.
Two things leave your device. Receipt text and images are sent to our categorization service to be read and categorized, and are not retained after processing. When you connect QuickBooks, your list of expense account names is sent once so your categories can be mapped to your chart of accounts; that list is not stored either. Phone numbers and card numbers are stripped from receipt text on your device before anything is sent.

Availability
Receipt Rabbit is an iPhone app running iOS 17 or later. It is currently in beta — request early access to be notified when it opens up.
